For download all the files, I need to click in folder by folder in outlook desktop app.

But the problem is this resignee got more than 100++ of subfolder which is time consume.

Is that any way to retrieve the user mailbox and archive in pst format?

Thanks in advance =)

HD IT Solutions is an IT service provider.

If you're using Outlook to access the mailbox, then you can just go File > Open & Export > Import/Export  > Export to a file > Outlook Data File (.pst). Then at the Export Outlook Data File dialog box select the mailbox as the folder to export from and make sure there is a tick in Include subfolders.

This will export everything in one go (including calendar, contacts, tasks, etc.)

If you want to do it from within the web portal, you can use e-discovery.

Would it not be easier to convert to a shared mailbox?  They do not use a licence and you can grant permission to whomever and they can access via OWA.  This is how we manage our ex-employees.

You can download a PST from the Security and Compliance center as well. You need to search for the users mailbox and you can download a zip containing the mailbox .

Admin Portal > Admin Centers > Security & Compliance > Search > Content Search

I agree the best way save a record of a resignee mailbox is to convert the mailbox to a shared mailbox.  That said, here are the steps to get a PST out of Office 365:

  1. From the O365 Admin Center
  2. Select All admin centers
  3. Select Compliance
  4. Select More resources
  5. Select Office 365 security & compliance center
  6. Down arrow on Search
  7. Select Content search
  8. Select Guided search
  9. Enter a name for the search
  10. On the Locations page
  11. Select Specific locations
  12. Click on text Choose users, groups,or teams
  13. On the Edit locations page, click Choose Users, groups, or teams
  14. Type the name of the user, wait a bit, and click the checkbox next to the user for a PST export, click Choose
  15. Click Done
  16. Back on the locations page click Next
  17. Add any keywords if you want to narrow your results and/or click Finish
  18. A search starts, wait for the results, usually less than a minute
  19. Click on the down arrow next to More and select Export results
  20. Pick your options on the Export results page and click Export
  21. Back to the page showing searches, select the Exports tab
  22. Select Download results
  23. Office 365 will then want to run the Microsoft.Office.Client.Discovery.UnifiedExportTool.Application - Click open, and then install the application
  24. On the Search page, there will be an Export key, copy the key, and paste the key into the eDiscovery Export Tool, and select a local destination for the file
  25. Scroll down on this page to see the Status of the search. You can download the PST at any time but waiting until it is complete, works better for me.
  26. Click start
  27. The search must first complete, this can take a bit of time depending on the size of the PST

Note: The downloaded PST will not contain contacts or calendar items. Or it did not the last time I jumped through these hoops back in May 2019

Correct.  But sometimes these things need to be saved too - compliance and the like.

It's easier to go the shared mailbox route but if process says "Extract to .pst" then you've got to go through the hoops.

An archive is (depending on the media you write to) static.  A shared mailbox is more likely to be changeable.

Also, for the OP's benefit, the last time I did the Outlook method for a 50GB mailbox, it took about 8 hours to fully synch all folders for the OST and a day to export the PST (with 300Mbps dedicated line to the net)

I'd definitely also recommend converting it to a shared mailbox.

Alternatively, you can place a litigation hold on it, and then you can download a .pst copy of the entire mailbox. Use 'search' the mailbox for *, you can then generate a .pst file.

I'd convert the mailbox to shared mailbox and add myself as a member and wait for few mins to show my account and using desktop outlook application I'll export the shared mailbox to .pst.

Hi DDP,

Thanks for step by step guiding me.

I failed on step 21, It showed no data available on Exports Tab.

Hi Rav,

Currently, I converted the ex-employee email to shared mailbox.

Can I delete the ex-employee email address? would it effect the shared mailbox?
